Step 1: Provide your payroll data
From the Home/Employer Payroll List screen, select Resume loading payroll
The screen below is displayed
Step 2: Select the correct file
Click Choose file
Step 3: Upload your file
Click Upload
Step 4: Summary
A summary of the employees, their earnings and contributions is displayed. If there are any errors or warnings, you will be notified at this point, and you can download a Warnings and Errors summary to rectify your file.
For any errors that are identified, you will be advised what you must change in your report. Please amend your report and click Reset Import to upload your amended file.
For any warnings that are identified, you will be asked to acknowledge and accept these by ticking the boxes against every warning type.
For warnings that require an amendment, please amend your report and click Reset Import to upload your amended file.
If you are happy to proceed with the upload, please acknowledge any error warnings and confirm you have downloaded and viewed the Warnings and Errors summary before clicking Continue Import.
Step 5: Contribution and Assessment screen
The Contribution and Assessment screen provides a summary of the employees you have loaded, their status and any contributions that will be considered due.
If there are employees with zero earnings or who are missing from the import, you will be asked to confirm the reason for this.
If an employee has left employment, you will need to confirm this as the reason for them having No Earnings and provide their leaving date. You can select the appropriate leave reason from the provided dropdown list.
If this identifies any omitted employees for you and you want to update your report, you can reset the import at this point.
Once all errors and warnings have been corrected, click Save and Confirm to continue.
Step 6: Results screen
The screen below will appear after you have clicked Confirm.
This screen provides details of the contributions that will be collected, changes that need to be made before the next payroll upload and if any notices will need to be distributed.
Changes report
If any changes need to be made before the next payroll, these are listed on the Changes Summary report available for download as a .csv file. The downloaded file will resemble the report shown below:
You can also download the latest changes report from your portal by clicking on Payroll Changes Report in the Employer Payroll List screen.
Report history
You can also download both the Payroll Changes Report and Warnings and Errors Report for all previous uploads by clicking on Previous Upload Reports.
Step 7: Production of communications
All notices for employees where a unique email address has been provided will be sent automatically to such address overnight.
If your upload prompts either no notices to be produced, or if all such notices can be sent to unique email addresses (as per the above), then you can complete your upload now by clicking the Finish button.
Step 8: Download, print and distribute notices
In the event that notices are generated for employees where a unique email address has not been provided, you will receive notification on the system that we will produce these.
Once these notices have been generated, you will receive an email notifying you of the need to log back into the Cushon Auto Enrolment Portal to download, print and distribute these to relevant employees.
Step 9: Resume loading payroll
Once you have logged back into the Cushon Auto Enrolment Portal, click on Resume loading payroll to upload your payroll (step 3).
Once you have downloaded and printed these notices, please tick the box to confirm. You will not be able to complete the upload until this box has been ticked.
Step 10: Completing your upload
Click Finish to complete your upload.
Note: Remember to refer to your changes report and execute all changes prior to closing your next payroll period.
